Service line 02  ·  AR, AP & cleanup

Get paid on time. Pay your people on time. Know where you stand.

Receivables that get followed up, payables that go out in the right order, and books you can read without a translator. Built for how this industry actually bills — progress draws, retainage, change orders, insurance proceeds that land in pieces, and contingency fees that settle months after the work.

ARGetting paid

An invoice nobody chases is a donation.

Receivables in this industry age differently than everyone else's. A draw waits on an inspection, retainage waits on the punch list, a supplement waits on the carrier, and a contingency fee waits on the settlement. Aging alone does not tell you which is which — so the follow-up has to know the difference.

Current
Invoiced on completion of the draw, not two weeks later.
1–30
Confirmed received and in the approval queue, with a name attached.
31–60
Something is stuck. Find out what, in writing.
61–90
Escalated past the original contact. Terms restated.
90+
A decision, not a reminder — lien deadline, settlement, or write-off.
  • Invoicing and progress billing on a schedule
  • Retainage tracked separately from open AR
  • Change orders billed instead of forgotten
  • Insurance proceeds, draws, and settled-claim fees reconciled to the file
  • Aging reviewed on a fixed cadence, not when cash gets tight
  • Lien and notice deadlines flagged before they pass
APPaying out

Suppliers remember who pays them.

Payables are not just a cost — they are your credit line with the supply house and your standing with the subs who show up first. Paid in the right order, they buy you terms. Paid at random, they cost you both.

  • Vendor bills entered against the job, not a general bucket
  • Payment scheduling that protects discounts and terms
  • Sub and supplier payments tracked to the work performed
  • Lien waivers collected as payments go out
  • Sales tax on materials handled the way Texas expects
  • 1099 information gathered during the year, not in January
FixCleanup & rescue

When the books stopped being true.

It usually happens the same way: a busy season, a bookkeeper who left, a year of deposits categorized as income and card charges categorized as nothing. The file still opens — it just no longer describes the business.

  • 01

    Assess

What is actually in there, how far back it holds up, and what it would take to make the last closed year defensible. You get that as a plain answer before any work starts.

  • 02

    Reconstruct

Reconciled back to the bank and the card statements, misclassifications corrected, owner draws and personal charges separated out, job costs put back on the jobs.

  • 03

    Run it forward

AR and AP handled on a regular cycle so the file stays accurate instead of degrading again between tax seasons.

  • 04

    Report

A short monthly read: what came in, what went out, what is owed to you, what you owe, and what needs a decision. Written in English.

PortalYour invoices

Your invoices, open in a browser.

Clients get a private portal — current and past invoices, what has been paid, what is outstanding, and downloadable copies for your own records. No emailing back and forth to ask which invoice a payment applied to.

Payment is made directly through the portal, and quotes and statements appear there as they are issued.

Your portal address comes with your first invoice — each client has their own.

SystemsWhat I work in

I work in the books you already have.

No migration as a condition of getting help. If your accounting file, job management system, and invoicing are already set up, the work happens inside them. If they are not talking to each other, that is usually the first thing worth fixing — and it is a conversation, not an upsell.

ContactStart a file

Send what you have.

Everything runs through email for now. New work is reviewed the day it comes in — and if it is not a fit, you will hear that instead of a quote.

What to include

  • What system your books live in
  • Roughly how far behind they are
  • Your current AR aging, if you can pull it
  • Whether subs or suppliers are waiting
  • Who else touches the books
